What we collect
When you request a quote, book a visit or send us a message we may collect: your name, phone number, email address, postcode and full address, photos you choose to send us, the description of the work you'd like done, and any preferences for the visit (date and time slot).
When you browse the site we may also collect technical data such as your IP address, browser type, device type and the pages you visit. This is used in aggregate to understand how the site is performing.
Why we use it (lawful basis)
Quote requests and bookings — to respond to you, prepare a price, schedule a visit and carry out the work. Lawful basis: performance of a contract / steps taken at your request before entering a contract.
Service messages (e.g. confirming a visit) — lawful basis: legitimate interests in keeping you informed about a job you've asked us to do.
Marketing emails or SMS — only if you explicitly opt in. Lawful basis: consent. You can withdraw at any time using the unsubscribe link in any message or by emailing us.
Site analytics — lawful basis: legitimate interests in improving the website. No personally-identifying analytics cookies are set without your consent (see our Cookie Policy).
SMS / text messaging
When you give us your mobile number on a quote form or via the contact page, you can opt in to receive SMS messages from FindTreeSurgeon.com. We use SMS for transactional purposes only — sending you your private quote link, visit confirmations and reminders, and direct replies from our team. We do not send marketing or promotional SMS.
Message frequency: typically 1–4 messages per quote. Standard message and data rates from your carrier may apply.
You can opt out at any time by replying STOP to any message — we will not text you again. For help, reply HELP or email hello@treesurgeon.best.
Your mobile number is shared only with our SMS delivery provider (Twilio) for the sole purpose of sending you these messages. We never sell, rent, or share mobile numbers or SMS opt-in consent with third parties or affiliates for marketing.
Who we share it with
We do not sell your personal data. We share it only with trusted processors who help us run the business: our hosting provider, our database/auth provider (Supabase), our email and SMS providers (e.g. Resend, Twilio), and — for chat assistance — the AI provider that powers our reply assistant. All processors are contractually required to protect your data.
We may also disclose data if required to do so by law or to protect our legal rights.
How long we keep it
Quote requests and conversation history: up to 24 months from the last activity, so we can answer follow-up questions and honour any warranty on work carried out.
Accounting records (invoices, payments): 6 years, as required by UK tax law.
Marketing consent records: until you withdraw consent, plus a short audit trail afterwards to prove the withdrawal.
Your rights
Under UK GDPR you have the right to access, correct, delete or restrict processing of your personal data, the right to data portability, and the right to object to processing based on legitimate interests or for direct marketing.

You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk) at any time.
Security
We use industry-standard measures to protect your data, including TLS encryption in transit, encryption at rest with our database provider, role-based access controls, and secure authentication tokens for your private quote link.

We may update this policy from time to time. The latest version will always be on this page with the updated date below.
